Sage 200 year end services from Pinnacle

We understand that year-end can be a busy and challenging time, so we’ve prepared a few different ways that we can help.

If you just need a reminder of the steps to follow to complete the year-end, we have produced a comprehensive guide which provides a detailed explanation of the process from start to finish.

If you are comfortable with completing the year-end process for yourself, but just need some assistance with creating backups and year-end archives, we can help to create up to two year-end archive companies, free of charge, arranged via the booking process. If you need to create more than two year-end archives, a charge of £100 applies for each additional company.

We can complete the year-end process on your behalf, at a flat rate of £125 per company. This cost will include the creation of an archive and backup for the company being processed. This option is particularly helpful if you are completing year-end for the first time. Terms and conditions apply.

How do I make a booking?

Please visit our online booking system, hosted via Microsoft Bookings.

  • Choose which service you would like to use.
  • Select a suitable time for the year-end or archives to be processed.
  • Complete the questions on the booking form and submit.
  • Your booking will be recorded with us and allocated to a member of our Support team.
  • We will get in touch with you, ahead of the appointed time, to overview the process and understand your requirements in greater depth.

Our booking system allows you to book time in increments of one hour. When you make a booking, please allow one hour of time for up to two companies to be processed. The cost for performing each year-end is a flat rate, and not dependent on how much time it takes to complete the process.

If you need to book time to process more than 4 year-ends or archives, please contact support to discuss your requirements and the costs in more detail.

What activities are included as part of the year-end service?

  • Creation of an archive company, available as a separate company in Sage 200, so that you can refer to your prior year accounts for reporting or accounting purposes.
  • Checklist to confirm that various accounting procedures have been completed in preparation for the year-end to take place – for example, confirming that waiting and deferred postings have been updated, all relevant postings have been made, and that all periods have been closed.
  • Processing of the year-end routine, resulting in the old financial year being closed, and the new financial year being opened to accept new postings. Please refer to our year-end guide for further details about the activities involved in the year-end process.

What activities are not included as part of the year-end service?

The only parts of the process that we do not complete on your behalf are transactional processing or generating reports. Examples of the types of activities that we do not complete are:

  • Preparing or creating accounting adjustments
  • Posting journals, or other transactions, either in the new year, or the year being closed.
  • Generating management reports, other than those automatically created by the year-end routine.

What happens if I need to cancel or re-arrange a booking?

It is possible to cancel or re-arrange a booking up to 24 hours in advance of the scheduled time.

Within 24 hours a 50% cancellation fee will be applicable. You can administer your booking via the confirmation email received as part of the booking process.

Important things to consider.

There are a variety of things to consider when processing a year-end in Sage 200, many of which are detailed in the year-end guide. However, here are some important things to think about when planning your year-end:

  • We receive a high demand for assistance with the year-end during certain times of year, so it is important to book a year-end session in advance. As such, please understand that there may be a lead time for our availability.
  • If you require us to complete the year-end on your behalf, it is important that all your year-end processing, related to the prior year, has been completed in advance of your booking. This includes reporting and accounting adjustments, and closure of monthly periods.
  • In Sage 200, the year-end routine requires one user to have exclusive access to the system throughout the process. That is, all other users must log off while the process completes. If you require us to process year-end, please ask everyone to log off the system before the appointed time.
  • Year-end can take some time to complete, particularly on larger databases. If you have large transaction volumes, please book your year-end for an earlier part of the day, so that we can continue to provide support throughout the whole process. Our working hours are between 9am to 5.30pm, Monday to Friday, and we can’t guarantee support availability outside those times.
