Importantly, archived data can still be viewed through historical reports and archived workspaces within Sage 200.

Archiving vs Purging – What’s the Difference?

It’s important to understand the distinction between archiving and purging.

Archiving

  • Moves older data into a history file
  • Data remains accessible through reports and enquiry screens
  • Helps maintain performance without losing information

Purging

  • Permanently removes archived data from the database
  • Reduces storage requirements on the server
  • Data cannot be recovered once removed

Before purging data, it is recommended to take a backup and create an archive company so that historical data can still be referenced if needed.

Archiving Financial Data

Within the Sales, Purchase, and Nominal Ledgers, Sage 200 allows you to define how long transactions remain in the live system before being archived.

This is configured within:

Utilities → Ledger Setup → Ledger Settings

Here, you can specify the number of months to retain transactions in the current ledger before they are archived.

When the Account Maintenance routine is run, the system archives transactions based on those settings.

Sales & Purchase Ledgers

The account maintenance process can:

  • Archive fully allocated transactions for open item accounts
  • Run period maintenance for balance forward accounts
  • Automatically allocate credits to outstanding debits

Once archived, transactions can still be viewed through historical reports and archive workspaces.

Only orders with a status of Completed or Cancelled will be archived; live orders remain in the system.

When orders are archived:

  • They no longer appear in standard list views
  • Delivery and despatch details are removed
  • Documents and attachments are removed
  • Invoices and credit notes can only be viewed through archived reports

Archiving Stock History

If your organisation retains stock movement history, the database can grow rapidly over time.

Archiving stock history allows you to:

  • Reduce database size

  • Keep historical stock transactions accessible through archive reports

Archived transactions are still included when running retrospective stock valuation reports, ensuring financial accuracy.

Batch and Serial Number Archiving

Archiving batch or serial records:

  • Allows them to still be viewed through archived enquiry screens

The transaction audit trail records every entry made within Sage 200, across both financial and commercial modules.

Over time this file can become extremely large.

  • Remove entries once they have been printed
